Mr. C's Music respects the privacy of pupils, parents and guardians and is committed to protecting personal information.

This Privacy Policy explains how personal information is collected and used in connection with Mr. C's Music and BANDY®.

Who is responsible for your information?

Mr. C's Music is operated by Andy Crilley as a sole trader and is the data controller for personal information collected directly in connection with its services.

Information we may collect

Depending on the services you use, we may collect information including:

• parent or guardian name and contact details;

• pupil name, school, year group and class;

• lesson, instrument and BANDY® enrolment information;

• attendance and relevant teaching records;

• payment and account information;

• instrument hire information;

• photography and video permissions;

• relevant medical information, allergies or additional needs provided to us for the safe and appropriate delivery of tuition;

• communications between parents/guardians and Mr. C's Music; and

• information submitted through our website or application forms.

We aim to collect only information that is reasonably necessary for providing and administering our services.

How we use personal information

Personal information may be used to:

• process applications and manage pupil enrolment;

• organise and provide music lessons, BANDY® rehearsals and performances;

• communicate with parents, guardians and schools;

• administer fees, payments and Direct Debits;

• manage instrument hire;

• maintain attendance and teaching records;

• accommodate relevant medical, allergy or additional-needs information;

• manage photography and video permissions;

• fulfil safeguarding responsibilities;

• operate and improve Mr. C's Music and BANDY®; and

• meet legal, accounting and regulatory obligations.

Our lawful basis for using information

Depending on the circumstances, personal information is processed because it is necessary to perform our agreement with parents/guardians, to comply with a legal obligation, or because Mr. C's Music has a legitimate interest in administering and providing its services.

Where consent is the appropriate lawful basis - for example, for certain uses of photographs or video - consent will be requested separately and may be withdrawn.

Where relevant medical or other special-category information is processed, it will only be used where there is an appropriate lawful basis and condition for doing so.

Who we share information with

We do not sell personal information.

Information may be shared where reasonably necessary with organisations that help us operate our services, including payment, accounting, IT and cloud-service providers, and with schools where appropriate.

This may include services such as Google Workspace for business administration and GoCardless for Direct Debit payments.

Information may also be disclosed where required by law or where necessary for safeguarding purposes.

We only share information where there is an appropriate reason to do so.

Children's information

As Mr. C's Music primarily provides services to children, particular care is taken when handling pupil information.

Information about pupils is normally supplied by their parent or guardian and is used only where reasonably necessary to provide, administer and safeguard their music tuition and participation in BANDY®.

Photographs and video

Photographs or video of pupils will only be used where appropriate permission has been obtained.

Parents and guardians may withdraw this permission by contacting Mr. C's Music.

Payments

Payments may be made by bank transfer or collected through GoCardless.

Mr. C's Music does not need to hold full bank account details used to establish a GoCardless Direct Debit. Payment providers process relevant payment information in accordance with their own privacy policies and legal obligations.

How long we keep information

Personal information is retained only for as long as reasonably necessary for the purpose for which it was collected and to meet any legal, accounting, safeguarding or regulatory requirements.

Different types of information may therefore be retained for different periods.

When information is no longer required, it will be securely deleted or disposed of where appropriate.

Keeping information secure

Reasonable organisational and technical measures are used to protect personal information against unauthorised access, loss, misuse or disclosure.

However, no method of electronic communication or storage can be guaranteed to be completely secure.

Your data protection rights

Depending on the circumstances, individuals have rights under UK data protection law which may include the right to:

• request access to personal information;

• ask for inaccurate information to be corrected;

• request deletion of information in certain circumstances;

• request restriction of processing in certain circumstances;
